1. PROCESSING YOUR DATA

1.1 How we collect data

We collect data about you when we meet or work together, when we communicate with each other about working together, when you contact us, when we’ve been referred to you and when we’ve been to the same event and details of attendees were shared. We do so using the ‘legitimate interests’ rationale of the General Data Protection Regulations (GDPR) that came into force on 25th May 2018.

1.2 Legitimate interest

The legitimate interest is based on the alignment between our work and your work and / or interests, which if you work in a business could include:

• Senior management and leadership
• HR and learning & development
• Sustainability, CSR, community engagement, diversity & inclusion
• Customer insight, innovation and product, service and customer experience design

If you work at a charity, social enterprise, school or other type of community organisation, those areas of work or interest could include:

• Senior management and leadership
• Corporate engagement and partnerships
• Fundraising, marketing and events
• Strategy

We also collect data on participants in our programmes which can include employees and service users of organisations we are working with.

If you feel that on this on this basis we do not have a legitimate interest in storing your data please tell us and we will delete your data from our database.

1.3 How we use and don’t use your data

If you work in a business in one of the fields listed above, we will use your data to email you our occasional newsletter or invitations to Three Hands events, if we have your written permission to do so.

If you work in a charity, we will use your data to send you an occasional charity newsletter, invitations to take part in our bi-annual employee volunteering survey and survey results, if we have your written permission to do so.

If you are a participant in one of our projects, we will use your data to deliver the agreed service and share relevant information with you.

If we have your permission to email you as described above, and you change your mind, you can unsubscribe at any time and we will no longer email you as described.

We will use your data to send you personalised emails that are relevant to work that we are doing together or that we might do together.

1.4 What data we store

We store names, work email addresses, job titles and in some cases work phone numbers and work postal addresses. We store notes on the work that we’ve done together and conversations that we’ve had. We might store notes about previous roles you’ve been in.

We sometimes take and store photographs of our events and projects, in which case we will seek your consent to be photographed. You have the right to request to review photographs that we hold of you, and to request removal from digital media and removal from future versions of print media.

1.5 How the data is stored

We use Highrise, a GDPR compliant cloud-based database, and Box, a GDPR compliant cloud storage service.

1.6 Sharing data

Sometimes we need to share data with Three Hands associates (who are not employees of Three Hands Ltd.), and our partner organisations, as part of the service that we are providing you. We will advise you if this is the case. When sending data, we take steps to ensure that it is secure, for example password protecting documents.

We will not sell your details or pass them on to any other third party.

2. COOKIES

2.1 Why and how we use cookies

Our website uses cookies, as almost all websites do, to help provide you with the best experience we can. Cookies are small text files that are placed on your computer or mobile phone when you browse websites.

Our cookies help us:

• Make our website work as you’d expect
• Remember your settings during and between visits
• Improve the speed/security of the site
• Continuously improve our website for you
• Make our marketing more efficient (ultimately helping us to offer the service we do at the price we do)

2.2 Types of cookies that we use

We use Website Function Cookies to make our website work, including remembering your preferences such as colours, text size and layout. There is no way to prevent these cookies being set other than to not use our site.

We use Anonymous Visitor Statistics Cookies to compile visitor statistics such as how many people have visited our website, what type of technology they are using (e.g. Mac or Windows which helps to identify when our site isn’t working as it should for particular technologies), how long they spend on the site, what page they look at etc. This helps us to continuously improve our website. These so called ‘analytics’ programs also tell us, on an anonymous basis, how people reached this site (e.g. from a search engine) and whether they have been here before helping us to put more money into developing our services for you.

2.3. Granting us permission to use cookies

If the settings on your software that you are using to view this website (your browser) are adjusted to accept cookies we take this, and your continued use of our website, to mean that you are fine with this. 2.4 Turning Cookies Off

You can usually switch cookies off by adjusting your browser settings to stop it from accepting cookies (learn how here). Doing so is likely to limit the functionality of our website and a large proportion of the world’s websites, as cookies are a standard part of most modern websites.

It may be that your concerns around cookies relate to so called “spyware”. Rather than switching off cookies in your browser you may find that anti-spyware software achieves the same objective by automatically deleting cookies considered to be invasive.
